Overview

MERS Goodwill is a Missouri-based nonprofit dedicated to helping individuals build skills, find employment, and achieve long-term economic independence. Supporting that mission requires managing a wide range of participant and employee documentation—from enrollment, intake, and consent forms to internal HR and operational documents.

These document processes span multiple departments and programs, requiring a secure, consistent, and efficient way to create, manage, send, sign, and store documents. As the organization's operations continued to grow, MERS Goodwill sought a scalable document management platform that could streamline workflows, improve collaboration, and support future expansion across the organization.

The Challenge: From E-Signatures to End-to-End Document Management

As MERS Goodwill's document processes expanded across more departments, programs, and workflows, the organization needed a solution that could scale alongside its growth. While DocuSign supported electronic signatures, MERS Goodwill was looking for a more comprehensive document management platform that could standardize document creation, automate workflows, centralize document management, and simplify administration across the organization.

The goal was to implement a solution that could easily scale to support additional teams and business processes while providing greater flexibility, stronger governance, and a more cost-effective foundation for long-term growth. DocStudio offered the ability to manage the entire document lifecycle—from structured document creation and workflow automation to electronic signatures, tracking, and centralized archiving—all within a single platform.

Implementing DocStudio for a Streamlined Document Workflow

Implementing DocStudio gave MERS Goodwill a centralized platform to create, manage, send, track, sign, and securely store documents. Existing document templates were migrated from DocuSign and converted into structured, reusable templates, and organized into program-specific mailboxes, creating a standardized and scalable document management process for all departments and programs.

MERS Goodwill uses DocStudio across two primary document workflows:

The first is external, supporting documents sent to program participants, including enrollment agreements, intake forms, consent forms, authorization documents, and orientation packets. Participants receive documents by email, review them, and complete electronic signatures without creating an account, making the experience simple and accessible.

The second is internal, supporting documents shared between employees, retail locations, and program teams for HR processes, internal approvals, employee acknowledgments, and other operational documentation.

How DocStudio Supports Their Process

DocStudio provides several key capabilities that make document management efficient and scalable across the organization.

Structured document templates replace static forms with dynamic, reusable templates that automatically populate information where needed. Each template captures structured data that can be searched, reused, and integrated into future business processes, ensuring consistency across every program.

Automated workflows are built directly into each template, defining every step of the document lifecycle—from preparation and internal review to approvals, electronic signatures, notifications, and final document distribution.

Program-specific mailboxes organize templates and completed documents into dedicated workspaces for each program, making it easy for teams to manage their own documents while maintaining standardized processes across the organization.

Multi-document envelopes allow related documents, such as confidentiality agreements and orientation packets, to be sent together in a single envelope with one signing experience instead of requiring multiple emails and separate signatures.

Role-based permissions ensure employees only have access to the documents appropriate for their responsibilities. Administrators centrally manage permissions that determine who can create, edit, approve, send, or simply view documents.

Single Sign-On (SSO) provides secure access for approximately 90 employees through the organization's existing identity provider, simplifying user management while improving security.

Centralized document archiving automatically stores completed documents in a searchable repository where staff can locate files within seconds using keywords, participant information, or document metadata.

Electronic signatures with full audit trails provide every completed document with a digital signing certificate and a comprehensive audit trail, creating a secure, verifiable record of every action throughout the signing process.

Improved Efficiency and a Clearer Process

With DocStudio, MERS Goodwill transformed disconnected, manual document processes into a centralized, automated document management system that supports both participant-facing and internal operations.

Documents are now organized into dedicated program mailboxes, giving each team a dedicated workspace while maintaining consistent document standards across the organization. Employees work from standardized, dynamic templates with built-in workflows that automatically guide documents through preparation, approvals, electronic signatures, notifications, and final distribution—eliminating repetitive manual tasks and reducing administrative effort.

The document experience has also become significantly more streamlined. Related forms can be bundled into a single signing package, allowing participants to review and sign multiple documents in a single signing experience directly from their email, without creating an account. At the same time, staff gain real-time visibility into every document's status, enabling faster follow-up and improved process transparency.

Completed documents are automatically archived in a centralized, searchable repository, making it easy to locate records in seconds whenever they are needed. Every signed document includes a digital signing certificate and a complete audit trail, providing a secure, verifiable record for compliance and future reference.

The result is a more organized, secure, and scalable document management process. By standardizing document creation, automating workflows, strengthening governance, and centralizing document storage, MERS Goodwill has improved operational efficiency, increased document visibility, reduced administrative overhead, and created a foundation that can easily support additional programs and future growth—allowing staff to dedicate more time to the people and communities they serve.

What's Next: Expanding Across the Organization

MERS Goodwill views DocStudio as a long-term platform for digital document transformation rather than a one-time implementation. As the organization continues to evolve, additional programs, departments, and document processes can be brought onto the platform, creating a consistent and standardized approach to document management across the organization.

Future initiatives include automating additional document workflows, expanding the use of structured templates and electronic signatures, and digitizing more participant and employee processes to further reduce manual effort and improve operational efficiency.

MERS Goodwill also intends to strengthen its digital ecosystem by integrating DocStudio with existing enterprise systems, including CRM and other business applications. These integrations will enable seamless data exchange, eliminate duplicate data entry, and allow documents to be automatically generated, processed, and tracked as part of end-to-end business workflows.

By continuing to expand automation and system integration, MERS Goodwill is building a scalable document management foundation that can support the organization's future growth while enabling staff to focus more time on delivering services to the communities they serve.
